What we collect when you use this site, why, and what you can do about it.

GTS Visa Connex ("we", "us", "our") provides visa, study-abroad and flight-booking consultancy services. This policy explains what personal data this website collects when you get in touch with us — for example through an assessment request, a contact form, or a callback request — why we collect it, how long we keep it, who we share it with, and the rights you have over it. It applies to gtsvisaconnex.com and to any form on it.

What we collect when you submit a form
When you submit an enquiry, assessment request, callback request or similar form on this site, we record the following. This list matches the actual fields our system stores — nothing more, nothing less.
Information you type in yourself
- Name, email address, phone number, and your message. We collect these because you provide them to ask us something or request a service — we need them to identify who you are and to respond to you.
- Form-specific details (for example, a destination, programme, travel dates, or which service you're asking about). We collect these to understand and process the specific request you're making, rather than a generic enquiry.
- Which form you used. We record this so your enquiry reaches the right part of our team.
Information collected automatically when you submit
- Your IP address. Every request your browser makes to any website includes this; we record it for two reasons: to detect and limit spam or abusive submissions (for example, rate-limiting how many times one address can submit a form), and as a security record if we ever need to investigate misuse of our forms. IP address is personal data, and we treat it as such — see "How long we keep it" and "Your rights" below. On location: our database has fields for a country and a city against every submission, but as of the date at the top of this policy, neither is populated — we do not currently derive your location from your IP address, whether through a locally held dataset or a third-party lookup service. If we switch that capability on in future, we will do it using a locally held geolocation database only — we will never send your IP address to a third-party service to resolve it — and we will update this policy before that change goes live, not after.
- Browser, browser version, operating system/platform, and device type. Your browser already sends an identifying string with every request; we read the browser, its version, your platform and whether you're on a phone, tablet or desktop from that string, to help us diagnose problems with our forms and to help distinguish genuine submissions from automated spam.
- Referring page, landing page, and the page you submitted from. We record which page linked you to us, the first page you landed on during your visit, and the page the form itself was on, so we can tell which pages and marketing activity actually produce genuine enquiries.
- Campaign parameters (UTM source, medium and campaign), if you arrived via a tagged marketing link — for the same reason as above.
- Language/region setting and time zone. We record the site's language setting at the time you submitted, and your time zone if the form supplied one, so we can communicate with you sensibly — for example, proposing call times that make sense for you.
- The date and time you submitted. A plain operational timestamp.
How your enquiry is handled internally
Once your enquiry reaches us, our team tracks it so a named person is responsible for it rather than it sitting in a shared inbox. That means we also keep, against your submission: its status (for example, new, read, or contacted), which staff member is handling it, internal notes our team makes while working on it, and timestamps for when it was read and when you were contacted. This is internal record-keeping about how we process your enquiry, not additional information collected about you.
Cookies
This site uses one functional session cookie — the standard mechanism our web framework uses to keep your session working correctly while you browse (for example, remembering the page you first landed on, so we can attribute an enquiry to the right source). We do not currently run any analytics, advertising, or tracking cookies or scripts on this site.
Why we collect it
Our legal basis for the categories above is either that you have given it to us to pursue a service you asked about (contract / pre-contract steps), or our legitimate interest in operating this site securely, understanding which marketing activity works, and preventing abuse of our forms — an interest we consider is not overridden by your own privacy interests, given the limited and largely technical nature of the data involved. We do not use any of this data to make automated decisions about you.
How long we keep it
We keep submission records for as long as reasonably necessary to respond to your enquiry and to maintain our own business records of it, and we delete or anonymise data on request as described under "Your rights" below. We have not yet published a fixed retention schedule (for example, "deleted after 24 months") for this site, and are working on formalising one — until it is published here, our practice is to keep data no longer than is necessary for the purpose it was collected for.
Who we share it with
- Our own staff who handle enquiries — the internal record described above is visible to the team member assigned to your case and to the colleagues who manage our enquiry pipeline.
- Our email service provider, solely to deliver the internal notification email that tells our team a new enquiry has arrived — not for that provider's own marketing purposes.
- Our hosting and infrastructure providers, who store and process this data on our behalf under contract, and only for that purpose.
- Government and immigration authorities, only where you have separately engaged us to submit an application or documents on your behalf as part of our consultancy service — a step you are aware of and involved in, and separate from this website's own data collection.
- We do not sell your personal data, and we do not share it with any third party for that third party's own marketing.
International transfers
Where our hosting or email providers process data outside your own country, we require appropriate safeguards to be in place. The specific hosting location for this site has not yet been confirmed for the purposes of this policy — treat this section as pending confirmation alongside the rest of this draft.
Your rights
Depending on where you live, you may have the right to ask us: what personal data we hold about you; to correct it if it's wrong; to delete it; to restrict or object to how we use it; and to receive a copy of it in a portable format. To exercise any of these, email info@gtsvisaconnex.com — we will respond as required by applicable law. If you are not satisfied with our response, you have the right to complain to your local data protection authority (for example, the ICO in the UK).
Children
This site is intended for prospective students, workers and travellers making their own enquiries, and is not directed at young children. If you believe a child has submitted personal data to us, contact us and we will remove it.
Changes to this policy
We may update this policy as our services or systems change. Material changes will update the "Last updated" date above. We will not remove the disclosures above about what location data we do and do not derive without replacing them with an equally specific, accurate statement.
